Accounts Officer & Administration Assistant

Timothy Loh LLP is an internationally recognized law firm looking for a detail oriented and organized individual to undertake bookkeeping and administrative duties independently.

Central location in Grade A offices

International management team

Bookkeeping Responsibilities

  • Maintain full set of books of account and scan and organize supporting financial records

  • Prepare monthly management accounts and reports for management

  • Prepare year-end financial statements and coordinate financial audit

  • Prepare accounts receivables ageing report

  • Reconcile bank accounts and credit card statements

  • Prepare cash flow forecasts and manage accounts payable and cash flow

  • Prepare cheques and arrange for approvals

  • Ensure compliance with Law Society trust accounting rules

  • Prepare work-in-progress and billing reports

  • Support client billing including assigning invoice numbers, collating disbursement information and checking full billing of work-in-progress


Human Resources Responsibilities

  • Handle payroll

  • Maintain HR records including staff leave and maintain staff leave calendar

  • Prepare and file MPF returns and arrange payroll deductions and contributions

  • Prepare and file IRD & Law Society returns in connection with staff joining and leaving

  • Arrange annual office and employment compensation insurance


Other Administrative Responsibilities

  • Manage new client and new file openings including performing conflicts checks, assigning matter numbers and tracking marketing data

  • Review KYC documentation received matches AML and professional conduct requirements

  • Manage file closings

  • Prepare quarterly indemnity insurance returns

  • Prepare annual indemnity insurance filings and annual indemnity top-up application


Job Requirements

  • Professional qualifications as a bookkeeper (e.g diploma or degree in accountancy)

  • 5+ years of experience as a bookkeeper

  • Experience in a law firm is preferred but not required

  • Good communication and interpersonal skills

  • Ability to work independently and as part of a team
